1. Who we are
This policy explains how Ascenthya (“we”, “us”) collects, uses, shares and protects personal information. Ascenthya is a financial services practice with offices in British Columbia, Ontario and the United States. It applies to ascenthya.com, our booking pages, our portals and the meetings and services that start there.

2. What we collect
We collect only what we need for the purposes below.
- When you book a meeting: your name, email, phone number, province or state, time zone, the meeting you choose and any notes you add.
- When you contact us: your name, email, phone number and message.
- When you apply for a role: your contact details, resume, cover letter, your answers to the application questions and, if someone referred you, their name.
- When you become a client: the information you share with your financial consultant to plan your finances. This can include your family situation, income, assets, debts, insurance, goals and, for business owners, information about your business. For clients who use our reporting portal, it also includes account values, deposits, withdrawals and returns.
- When an associate adds you as a contact: your name, phone or email, how they know you and notes from your conversations.
- When you visit the site: your IP address and browser details. We keep only a scrambled form of the IP address with booking requests, to stop abuse.
3. Why we use it
We use personal information to:
- arrange meetings and send confirmations and reminders
- answer your questions
- understand your needs and recommend financial products and services
- apply for insurance and investment products on your behalf, and service them
- show clients their portfolio reports
- review job applications and arrange interviews
- run associate accounts, training, recognition, awards and contests
- keep the site secure and stop spam and abuse
- meet our legal and regulatory duties
We do not sell personal information. We do not use it for advertising, and we do not use analytics or advertising trackers on this site.
4. Your consent
We ask for your consent when we collect your information, and we use it only for the purpose you were told. Sometimes your consent is implied, for example when you book a meeting we use your email to confirm it. You can withdraw your consent at any time by writing to admin@ascenthya.com. If you do, we may not be able to provide some services, and we will tell you what that means for you. We may still keep information the law requires us to keep.
We will ask before we record any meeting.
5. Who we share it with
We share personal information only as needed for the purposes above:
- Our brokerage and its affiliates, to register associates and to place and service client business.
- Insurance companies and investment providers, when you apply for or hold a product through us.
- Your financial consultant and their team leaders, who need it to serve you.
- Service providers that help us run the site and our meetings: Hostinger (website hosting and email), Google (calendar and Google Meet), Zoom and Microsoft (online meetings when chosen), Automattic (Akismet spam filtering) and YouTube (training videos). They may use the information only to provide their service to us.
- Regulators, courts and law enforcement, when the law requires it.
- A buyer or successor of all or part of our business, who must protect the information as this policy describes.
6. Information stored outside Canada
Our website is hosted in the United States, and some of our other service providers also store or process information outside Canada. While it is there, it may be accessed by courts, law enforcement and national security authorities of that country under its laws. We choose providers that protect information to a standard similar to this policy.
7. How we protect it
We protect personal information with security measures that match how sensitive it is. Access is limited by role, so people see only what they need for their work. Sensitive financial information, such as business discovery files, portfolio reports, job applications, earnings figures and award shipping addresses, is stored encrypted. We keep records of who accessed sensitive information. No system is perfectly secure; if a breach creates a real risk of significant harm, we will tell you and the regulator as the law requires.
8. How long we keep it
We keep personal information only as long as we need it for the purpose it was collected, or as long as the law requires. Then we delete it or make it anonymous.
- Meeting bookings: 2 years
- Job applications that did not go ahead: 1 month after the application is closed
- Client records: 7 years after the client relationship ends, as required for financial services records
- Associate records: kept while the associate is with us, then archived 7 years after they leave
- Contacts added by associates who did not become clients: deleted 2 years after the last contact
9. Your rights
You can ask us to:
- tell you what personal information we hold about you, how we use it and who we shared it with
- give you a copy of it
- correct it if it is wrong
- stop using it, by withdrawing your consent
Write to admin@ascenthya.com. We may ask you to confirm who you are. We will answer within 30 days, and tell you if we need more time and why. If we cannot give you some information, we will explain why.
If you are not satisfied with our answer, you can contact the Office of the Information and Privacy Commissioner for British Columbia (oipc.bc.ca) or the Office of the Privacy Commissioner of Canada (priv.gc.ca).
10. Cookies
We use cookies that the site needs to work, such as keeping you signed in and protecting forms. We do not use advertising or analytics cookies. Training videos are played through YouTube, which may set its own cookies when you play a video.
11. Children
Our services are for adults. We do not knowingly collect personal information from anyone under the age of majority in their province or state without the consent of a parent or guardian.
12. Links to other sites
Our site links to other sites, such as YouTube and news sources. Their own privacy policies apply when you visit them.
13. Changes to this policy
We may update this policy. The latest version is always on this page, with the date it was last updated. If we make an important change, we will tell clients and associates directly.
